Senior Admin Specialist

Permanent, Full-Time    |    On-Site

About the Job:
MPS Executive Suites is currently on the hunt for a full-time Senior Admin Specialist. Since 1981, we have been supporting businesses and organizations throughout Canada. MPS Executive Suites is a professional business centre with full-time support services located in the heart of Vancouver’s West Broadway.
As an MPS team member, you have the opportunity to work with a diverse range of corporate organizations, small businesses, individuals, and non-profit associations. From start-up concepts to national organizations, we work with them all by providing both on-site and virtual services across various systems, platforms, and softwares. Our vision is “to help our clients achieve their vision” and we do that by providing unparalleled customer experience and administrative assets. As a result, one year of experience with MPS is comparable to the skills and experience you would obtain in three years elsewhere.
Responsibilities:
Our company has been privileged to have seen continual growth, especially in the past few years. As a result, we are now adding another position to our team. You will be reporting directly to the Community and Association Managers. Your general responsibilities in this role include the following:
 
Administrative Focus
  • Detail-oriented data entry for our Community and Association clients
  • Association member interactions (taking membership inquiries for our association clients, managing general association email accounts, processing membership and certification, planning meetings and events, etc.)
  • Inputting and formatting various documents, reports, letters, etc., using Microsoft Office programs, online CRMs, and any other software our clients may ask us to learn along the way
  • Generating, editing, and maintaining various reports and spreadsheets for multiple clients
 
Front Desk Support 
  • Supporting the primary receptionist during breaks, busy surges, days off, and vacations
  • Receiving clients and guests in a friendly and professional manner
  • Answering, screening, and forwarding incoming calls and messages from a multi-line computer-based phone system
 
Marketing Support
  • Content collaboration, writing, and proofing for:
  • Blogs
  • Social media blurbs
  • Website 
  • Conduct regular social media engagement
The perfect candidate will possess the following:
  • 2+ years of administrative experience
  • 2+ years of experience in customer-facing support roles
  • High level of competence in Microsoft Office functions (advanced to expert level, particularly in Word and Excel)
  • Proven track record of being able to focus for prolonged periods with a high degree of accuracy in their work
  • Bubbly can-do attitude
  • Lives by the same core values we do: friendly, welcoming, accountable, helpful, flexible, ethical, fair, & hardworking
  • Intense eye for detail
  • Fluent in English, spoken and written; a second language would be an asset
  • Post-secondary education or equivalent experience
  • Legally able to work in Canada
Pay: $48,000 – $52,000 base + Benefits
